Cancellation Policy

We recognize that there are times when life events require a change in reservations or commitments. When possible we will seek to help you postpone and reschedule an activity rather than cancel. When you must cancel our policies are described here. In most cases, Pictona gives refunds by crediting your account when you give us sufficient notice.

Membership

  • For annual memberships, players may cancel within the first 30 days and receive a refund less 20% of the annual fee.
  • Selecting a membership with the Monthly Auto-Renew discount is a one-year commitment. Players who select this option are required to pay the one-year in full through monthly installments. Players may cancel within the first 15 days and receive a refund less 20% of the annual fee. The Monthly Auto-Renew membership may be cancelled for the next year with 48 hours’ notice before the renew period begins.
  • Annual members and auto renew members who incur an illness, injury, or for some other extenuating circumstances that prevents them from using their membership for a period of one month or more may request to have their membership paused. The request to do so must be submitted to and approved by Pictona’s management.
  • Monthly On-Demand memberships cannot be paused or cancelled.

Day Passes

  • Day passes purchased in advance may receive a full refund when requested before the day of play begins.
  • There are no refunds for day passes purchased the day of play.
  • No shows will not receive refunds.
  • Refunds will be issued to the original payment method.

Court Reservations

  • Player court reservations made in advance may receive a full refund when cancelled at least 24 hours in advance.
  • There are no refunds for player court reservations when cancelled less than 24 hours before the day of play.
  • If a reservation holder is late by 10 minutes the reservation is cancelled and the court is available for open play. No refund.
  • No shows will not receive refunds.
  • For reservations made as part of Play Pictona (groups of 8 or more), a full refund is given when the reservation is cancelled with at least 48 hours’ notice. No refund when less than 48 hours’ notice. The refund is made as one payment to the group in the form of the original payment.
  • For court reservations that are part of special events booked through our Event Manager, a full refund is given with a 7-day cancellation notice. No refund for cancellations with less than 7-day notice. If the event only involves court reservations, then apply the cancellation policy for Play Pictona.
  • When rain occurs, reservations will be cancelled. Players who reserved courts will be notified that their reservation has been cancelled.
  • Refunds will be issued to the original payment method.

Tournaments Owned by Pictona

  • Players may cancel their registration up to 7 days before the start of the tournament for a full refund less a $25 administration fee. There is no refund when cancelling less than 7 days before the tournament start date.
  • If players withdraw from one or more events but remain in any more events in the tournament, they receive a refund for each withdrawn event from which they have withdrawn without being charged an administration fee.
  • Anytime before 7 days, players may seek to transfer the registration to another person. A $10 transfer fee must be paid to Pictona to cover in part or whole the nonrefundable software service fee. It is up to the two individuals to work out payment reimbursement between themselves. If T-shirts are being given out at the tournament it will not be possible for the replacement individual to receive a shirt other than the original size ordered.
  • No refund is given when the tournament is cancelled because of weather or other acts of god, either before the tournament begins or during the tournament. Pictona will make every effort to play either a full or modified tournament using whatever courts are playable.
  • A full refund will be given if Pictona cancels the tournament for reasons within our control, e.g., because the facility is not in playable condition or insufficient registrations, or lack of personnel to conduct the tournament.
  • Refunds issued to the original payment method.

Tournaments Played at Pictona, Owned by an Entity

  • The organizing entity may cancel the agreement with Pictona to conduct the tournament according to the terms of the contract between Pictona and the entity.
  • The entity sets and administers the cancellation policy for the tournament held at Pictona.

Courses, Classes, Clinics

  • For registrations to attend these educational activities, a full refund is given less a 10% administrative fee when the registration is cancelled with at least 24 hours’ notice. Less than 24 hours, no refund.
  • No shows will not receive refunds.
  • Refunds will be issued to the original payment method.

Camp Pictona (Adult Camps)

  • For reservations made to attend Camp Pictona:
    • A 75% refund is given when the reservation is cancelled with between 14 and 30 days before the camp begins.
    • A 90% refund is given when the reservation is cancelled with over 30 days before the first day of your camp.
    • No refunds will be given for cancellations that are made with less than 14 days before the camp begins.
    • A 100% credit for a future camp is available for cancellations with at least 14 days notice.  There is a 1 year expiration on the 100% camp credit.  Once the credit is chosen there is no longer a cash refund option.
  • Refunds are refunded to the the form of payment used to pay for the camp.  Refunds take up to 10 days to credit to your account.

Private Lessons

  • For reservations made through Pictona, a full refund is given when the reservation is cancelled with at least 24 hours’ notice. Less than 24 hours, no refund. The instructor must be notified directly.
  • No shows will not receive refunds.

Pictona Organized Pickleball (POP!)

  • For registrations to POP sessions, a full refund is given when the reservation is cancelled with at least 24 hours notice. Less than 24 hours, no refund.
  • A full refund is given when the activity is cancelled because of weather, other acts of god, or by Pictona up to the start of the session. There is no refund once the session begins and then must be cancelled for any reason.
  • No shows receive no refunds.
  • Refunds will be issued to the original payment method.
  • POP credits issued for volunteering hours are refundable under the same rules as other payment methods. If the cancellation is made more than 24 hours in advance, the POP credit will be re-credited to the player's account. If the cancellation is made less than 24 hours in advance, the POP credit will be forfeited.

Events (not covered by the policies above)

  • Events contracted by Pictona’s Event Manager may have a cancellation policy in the Agreement which supersedes the policy stated here.
  • If there is no cancellation policy stated in the Agreement, contracted events may be cancelled at any time, less any advance deposit.
  • Pictona will seek to find an alternative time to conduct the event if that option exists. If the event is postponed and rescheduled within one year, the deposit is applied to the payment for the future event, otherwise it is retained by Pictona.
